How to setup a Bot

Step 1: Choose a Template

A template guides you through setting up a Bot. Pick a Template that matches best of what you are trying to automate. You will be asked a series of questions to help configure your Bot to run.

Step 2: Build your Bot

In a separate browser tab, open the website where you plan on creating a Bot. Then you will need to go back and forth from the website to Bot-It in order to tell the Bot exactly which actions to perform.

  • Login - Automate typing your username and password and clicking the login button.
  • Type or Search - Automate typing in any field on the page.
  • Click Button - Automatically click any button or checkbox.
  • Select Search Item - Automatically select an item from any search result list.
  • Pick a Date - Automate selecting a date on a calendar
  • Text or Email - Capture a picture of what's on your Bot's screen and send via text or email.
  • Drop Down List - Automate selecting an option from a Drop Down List.
  • Credit Card - Automatically add payment information to a website.
Step 3: See the Results

Need your Bot to send you the results after it has preformed all the steps? Add phone numbers or email addresses and your Bot will capture what's currently on the screen and share via email or text.

Step 4: Assign run times

Select a time you want your Bot to run or you can select how frequently you want your Bot to run. Each frequency requires a subscription plan.

After you are done setting up your Bot, the Bot-It Team will work on finalizing. You will be notified via email or mobile push notification when configuration is complete. Configuration can take up to 3-12 hours.

Get creative and give your Bot a unique name. You can be detailed as possible with your Bot name.

Step 1: Create your free Zoho account and upload your spreadsheet

Currently Bot-It only supports spreadsheets that are hosted on https://www.zoho.com/sheet/. Upload your spreadsheet and ensure to make it public (details below) so that your Bot can access it.

Step 2: Assign Steps Before Import

Before your Bot imports a row from your spreadsheet, you can add multiple action steps that your Bot can repeat between each import.

  • Login - Automate typing your username and password and clicking the login button.
  • Type or Search - Automate typing in any field on the page.
  • Click Button - Automatically click any button or checkbox.
  • Select Search Item - Automatically select an item from any search result list.
  • Pick a Date - Automate selecting a date on a calendar
  • Text or Email - Capture a picture of what's on your Bot's screen and send via text or email.
  • Drop Down List - Automate selecting an option from a Drop Down List.
Step 3 (part 1): Add Spreadsheet Columns & Website Field Information

Tell your Bot the name of the column you would like to export from your spreadsheet. The column must match the exact name in the spreadsheet or the Bot will not be able to run properly. You also will need to tell your Bot which field & the field type on the website you are looking to export the data to. Your Bot will repeat this for every row in the spreadsheet.

Step 3 (part 2): Add Spreadsheet Columns & Website Field Information

You will see a list of columns that you added from the previous step. Please ensure that the spelling is correct on each column listed so that your Bot runs properly.

Step 4: Add Your spreadsheet public Zoho link

You will need to make your spreadsheet public so that your Bot can access it. To make a spreadsheet public, go to your spreadsheet in Zoho, click the Share button in the top right corner of the screen. Then click the publish button and you will be presented with Publish Spreadsheet options. Click the 'To External World' button and click OK. Copy the public URL that Zoho provides and paste that URL in Bot-It.
